How we look after your information

This explains what we do with the information you give us through this website, in plain English.

The short version Who we are What we collect Why we use it Who we share it with How long we keep it Your rights Complaints Contact us

The short version

  • We only ask for what we need to reply to your enquiry and to arrange a place for your child.
  • We use it only for that. We do not sell it and we do not use it for marketing.
  • Enquiries are kept for up to 24 months after we last hear from you, then deleted.
  • You can ask to see, correct or delete your details at any time by emailing CrazyCapersOffice@crazycapers.biz.

Who we are

This website is run by Crazy Capers Limited, an out of school care provider registered with the Care Inspectorate (provider number SP2010011029). We are the “data controller” for the information described here, which means we decide how and why it is used.

Our address is Suite 3006, 12 Seedhill Road, Mile End Mill, Paisley, PA1 1JS. You can reach us at CrazyCapersOffice@crazycapers.biz.

This notice covers this website and its enquiry form. It does not cover the records we keep once a child has a place with us.

What we collect

What you type into the enquiry form

  • Your name, email address and phone number
  • Your address and postcode
  • How you would like us to contact you
  • The number of places you need, your child’s or children’s names, and the school or schools they attend
  • The days and times you would like, whether you want a summer placement, and your planned start date
  • Anything else you choose to tell us in the notes box. Some parents mention allergies, medical conditions or support needs there. That is health information, which the law treats as especially sensitive, so please only include it if you are happy for us to hold it.

Only your email address and your children’s names are required. Everything else is optional.

Technical information

  • Your internet (IP) address. When you send the form we use it to stop one connection sending a large number of submissions in an hour, which protects the form from spam. It is stored only in a scrambled (hashed) form, with the times of recent submissions, in temporary storage on our web server. It is not linked to what you typed.
  • Standard web server records. Our web hosting provider keeps routine logs (which include IP addresses) for security and to fix faults.
  • Your light or dark display choice. If you switch to dark mode, your browser remembers it on your own device. It is never sent to us.

This website does not use advertising or tracking cookies, and it does not use analytics.

Why we use your information

  • To reply to your enquiry, check we have space, and arrange a place for your child. Legal basis: taking steps at your request before you enter into an agreement with us (UK GDPR Article 6(1)(b)), and our legitimate interest in running our service and responding to families (Article 6(1)(f)).
  • To look after your child safely, where you have told us about health or support needs. Legal basis: your explicit consent (Article 9(2)(a)), which you give by choosing to include this information. You can withdraw it at any time by contacting us, and we will delete it unless we have another lawful reason to keep it.
  • To keep this website and form secure and free of spam. Legal basis: our legitimate interest in protecting our systems (Article 6(1)(f)).

We do not make decisions about you by automated means, and we do not use your details for marketing.

Who we share it with

  • Monday.com. When you send the form, your enquiry is recorded in the enquiry-management system we use, which is provided by Monday.com. They act on our behalf and only in line with our instructions.
  • Our web hosting provider. They host this website. If the enquiry system is ever unavailable, the enquiry is emailed to our office through their mail service instead.
  • Where the law requires it. For example, if the Care Inspectorate, the police or another public body has a lawful reason to ask, or where we need to act to protect a child.

This website links to other sites, such as the Care Inspectorate and what3words. When you follow those links you are subject to their own privacy notices.

Some of these providers operate internationally. If your information is sent outside the UK, it is done using the safeguards the UK GDPR allows, such as an adequacy decision or standard contractual clauses.

How long we keep it

  • Enquiries that do not lead to a place: up to 24 months after we last had contact with you about it, then we delete them.
  • Enquiries that do lead to a place: the details become part of your child’s records with us, which are covered separately from this notice.
  • IP address used to limit repeat submissions: only for as long as it takes to apply the hourly limit, in temporary server storage.
  • Web server logs: for the period our hosting provider keeps them.
  • Your display choice: in your own browser until you clear it.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict how we use it, or object to us using it
  • ask for your information in a portable format, where that applies
  • withdraw your consent at any time, where we are relying on it

To use any of these rights, email CrazyCapersOffice@crazycapers.biz. We will reply within one month. We may need to check who you are first, and there is normally no charge.

How we keep it secure

We take reasonable steps to protect your information. That includes sending the enquiry form over an encrypted (HTTPS) connection and limiting access to enquiries to the people who need them to do their jobs.

Children and this website

This website is for parents and carers. Please do not send us information about yourself if you are a child. If you are a parent or carer, the information you give us about your child is used only as described in this notice.

Complaints

We hope we can put things right if you have a concern, so please contact us first at CrazyCapersOffice@crazycapers.biz. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

If we change how we use your information we will update this page and the date at the top.
